PhysioAI Case Worker: Terms of Use and Clinical Decision Support Disclaimer

Version: 2026-10-15.1 Effective date: 15 October 2026 Operator: Auraflex Intelligent Healthcare Services Private Limited (CIN U85500MR2026PTC474713), a company registered in India with its registered office at A-104, Surya Park, Opp. Nageshwar Shiv Mandir, Neral, Karjat, Raigad, Maharashtra 410101, India ("PhysioAI", "we", "us").

Each section below has a short "What this means for you" note in plain English. The notes are there to help you understand the section. If a note and the clause ever differ, the clause applies.

1. About these terms and how you accept them

1.1 These terms apply to your use of Case Worker, a feature of the PhysioAI app and website that helps physiotherapists work up a patient case and draft clinical documents. Case Worker can be used from the Case Worker screen and from Synergist chat.

1.2 These terms add to PhysioAI's general Terms of Service and Privacy Policy. If they conflict, these Case Worker terms apply to Case Worker. The Case Worker Patient Data & Privacy Notice forms part of these terms.

1.3 You accept these terms by ticking the acceptance box in the Case Worker onboarding and continuing. You cannot use Case Worker without accepting them. We keep a record of the version you accepted and when you accepted it.

What this means for you: Ticking the box is a binding agreement. These rules sit on top of PhysioAI's normal terms and apply only to Case Worker.

2. What Case Worker is, and what it is not

2.1 What it is. Case Worker is a clinical decision support and documentation tool. From the information you enter, it uses artificial intelligence ("AI") and a library of published research to produce suggestions, including: a safety screen, a list of possible conditions (a differential) with confidence notes, conditions not to miss, an examination plan, precautions, management ideas, prognosis, imaging advice, a SOAP note, references to research, and draft documents (such as referral letters, exercise programmes, invoices and consent forms). Together these are the "Outputs".

2.2 It is not a medical device. Case Worker is not intended to diagnose, treat, cure, mitigate or prevent any disease or condition, and it is not intended to be used as a medical device. It has not been approved, registered or cleared by the Central Drugs Standard Control Organisation (CDSCO), the US FDA or any other regulator.

2.3 It does not diagnose. Outputs are suggestions for a qualified professional to consider. They are not a diagnosis, a treatment plan, a prescription or a medical opinion, and they are not a second opinion from a clinician.

2.4 It supports your judgement and never replaces it. Case Worker is designed to be used by a licensed physiotherapist who independently reviews every Output. It does not see, examine or talk to your patient, and it only knows what you tell it.

2.5 No clinician–patient relationship. PhysioAI does not provide healthcare services. Using Case Worker does not create any clinician–patient or other professional relationship between PhysioAI and you or your patients.

What this means for you: Case Worker is a thinking aid and a drafting assistant. It is not a doctor, not a diagnostic device and not a substitute for your own assessment.

3. You stay fully responsible for clinical care

3.1 You alone are responsible for:

  • (a) assessing, examining, diagnosing (within your scope of practice), treating, referring and discharging your patients;
  • (b) deciding whether to use, change or ignore any Output;
  • (c) checking every Output against your own findings, your training, current guidelines and the patient in front of you;
  • (d) the content of every document you create, edit, sign, print, download or share using Case Worker, including letters, exercise programmes, reports, consent forms and invoices (including GST details); and
  • (e) following the laws, professional codes and standards of care that apply to you, including the limits of your scope of practice.

3.2 Once you share, sign or rely on a document or Output, it is your clinical record and your professional communication. It is not a statement by PhysioAI.

3.3 You must not tell a patient or any other person that a diagnosis, treatment or document was "made by", "approved by" or "verified by" PhysioAI.

What this means for you: Whatever happens to the patient, and whatever you send out, is on your licence. Read and edit every document before you share it.

4. AI output can be wrong, so verify it before you use it

4.1 AI systems can produce Outputs that are inaccurate, incomplete, out of date, biased, inconsistent or entirely made up, while sounding confident. This includes possible conditions, confidence notes, dosages, exercise choices, contraindications, drug interactions and document wording.

4.2 The quality of the Outputs depends on the quality and completeness of what you enter. Missing, wrong or vague information will lead to weaker or wrong Outputs.

4.3 Confidence labels, "evidence" and "clinical reasoning" tags, scores and rankings are estimates made by software. They are not measures of clinical probability, and they do not guarantee that an Output is correct.

4.4 You must verify every Output before using it in patient care.

What this means for you: Treat every suggestion like advice from a well-read but unverified colleague. Check it before you act on it.

5. Safety and red-flag screening is an aid, not a guarantee

5.1 Case Worker's safety screen (emergency, red flags, concern, clear), its red-flag questions, its medication checks and its "must not miss" list are designed to prompt you. They do not replace your own screening.

5.2 A "clear" or low-concern result does not mean a serious condition is absent. The screen can miss serious conditions, including when information is missing or entered incorrectly. It can also flag conditions that are not present.

5.3 You remain responsible for screening for serious pathology, onward referral and safety-netting in line with professional standards.

What this means for you: A green result is not an all-clear. Keep doing your own red-flag screening every time.

6. Emergencies

6.1 Case Worker is not an emergency service and is not monitored in real time by PhysioAI or any clinician.

6.2 If you suspect a medical emergency (for example cauda equina syndrome, spinal cord compression, a cardiac event, a stroke, a fracture with neurovascular compromise or sepsis), act immediately through normal clinical and emergency channels. In India, call 112 or the relevant local emergency number, or arrange urgent medical referral. Do not wait for, or rely on, Case Worker.

6.3 When Case Worker flags a possible emergency it stops the workup. This is a precaution only. It is not a triage decision, and you must make your own.

What this means for you: In an emergency, call for help or refer urgently straight away. Case Worker is never the route for emergency care.

7. Evidence, citations and research summaries

7.1 Case Worker draws on a library of published research and on public sources (such as PubMed and clinical trial registries). The library is not complete, it may not include the newest studies, and it may contain errors.

7.2 Summaries, excerpts and citations may be incomplete, may not match your patient's population, or may be wrongly linked to a claim. Some points are labelled "clinical reasoning" rather than "evidence" because no supporting study was found.

7.3 You should read the original source before relying on a cited finding. Third-party sources are owned by their authors and publishers, and PhysioAI does not endorse or guarantee them.

What this means for you: A citation is a starting point. Open the paper before you rely on it.

8. Who can use Case Worker

8.1 You may use Case Worker only if all of the following are true:

  • (a) you are a physiotherapist who is currently registered or licensed to practise by the relevant regulatory body where you practise (in India, the applicable State Allied and Healthcare Council under the National Commission for Allied and Healthcare Professions Act, 2021, or the applicable state physiotherapy council, as relevant);
  • (b) your registration is not suspended, cancelled or subject to conditions that prevent you from practising;
  • (c) you are at least 18 years old and able to enter into a binding contract; and
  • (d) you have been given access through a valid Case Worker invitation.

8.2 Students, interns and unregistered assistants may not use Case Worker on real patients, even under supervision, unless we agree to it in writing.

8.3 We may ask for proof of your registration at any time and may suspend access until you provide it.

8.4 Case Worker is invite-only. Invitations are personal and cannot be transferred, sold or shared. We may limit, pause or withdraw access to Case Worker at any time.

8.5 Outside India. If you practise outside India, you must make sure that your use of Case Worker is allowed under your local laws and professional rules (including health-data laws such as the EU/UK GDPR or US HIPAA). Unless we have signed a separate written agreement with you, PhysioAI does not act as a "business associate" under HIPAA and does not sign data processing terms beyond these terms and the Patient Data notice.

What this means for you: Only registered physios with an invite may use Case Worker. You confirm that you are one, and we may check.

9. Acceptable use

You agree that you will not:

  • (a) use Case Worker for anyone other than your own patients, or for any purpose other than legitimate clinical care, documentation and professional learning;
  • (b) enter patient details without a lawful basis, including the patient's consent where required (see the Patient Data notice);
  • (c) enter more identifying information than needed. In particular, you will not put names, phone numbers, addresses, ID numbers (such as Aadhaar or ABHA numbers), photographs or other direct identifiers into the clinical fields, free-text notes or the case label;
  • (d) let anyone else use your account, or share your login or invitation;
  • (e) use Outputs to give care outside your scope of practice;
  • (f) present Outputs as a doctor's diagnosis, prescription or certificate (for example a medical fitness or sick-leave certificate);
  • (g) enter false, misleading or test data about a real person;
  • (h) copy, scrape, resell, sub-license, reverse engineer, or try to extract the prompts, models, research library or source code behind Case Worker, except where the law allows this despite this restriction;
  • (i) probe, overload or bypass security, usage limits or safety features, or try to make the AI produce harmful content;
  • (j) use Case Worker or its Outputs to build or train a competing product or AI model; or
  • (k) break any law, including data protection, consumer, tax and professional conduct laws.

What this means for you: Use Case Worker for your own patients, keep identifiers out of the clinical fields, and don't share your account or try to game the system.

10. Fees and usage

10.1 Access to Case Worker, usage limits and any fees, credits or subscriptions are governed by PhysioAI's general Terms of Service and the pricing shown in the app.

10.2 Invoices and other financial documents that Case Worker drafts for your patients are your documents. You are responsible for their accuracy, including GST registration, rates and invoice numbering.

What this means for you: You must check any invoice Case Worker drafts for your patients, including the GST details, before you issue it.

11. Intellectual property

11.1 Ours. PhysioAI and its licensors own Case Worker, including its software, prompts, workflows, design, research library compilation, templates, exercise library and trade marks. We give you a personal, non-exclusive, non-transferable, revocable licence to use Case Worker for your own professional practice while you are an authorised user and these terms are in force.

11.2 Yours. As between you and PhysioAI, you keep whatever rights you have in the information you enter ("Inputs"). Subject to your compliance with these terms and to clause 11.3, PhysioAI assigns to you any rights it has in the Outputs generated for you, and you may use, edit and share them in your practice. Your letterhead, logo and practice details remain yours.

11.3 Limits. Outputs may include material that is not unique to you (for example standard exercise descriptions, template wording, images from our exercise library and the same suggestions given to other users). We keep all rights in that underlying material and in our templates. Third-party research belongs to its owners. Using the Outputs within your practice is fine, but you may not republish our exercise library or templates as a stand-alone collection.

11.4 Licence to operate the service. You give PhysioAI a licence to host, process, transmit and display your Inputs and Outputs only as needed to provide, secure, support and improve Case Worker, as described in the Patient Data notice.

11.5 Feedback. If you send us feedback or suggestions, we may use them without restriction or payment.

What this means for you: You can freely use the documents and notes Case Worker makes for you in your practice. PhysioAI still owns the tool, the templates and the exercise library.

12. Disclaimers

12.1 Case Worker and all Outputs are provided "as is" and "as available". To the fullest extent the law allows, PhysioAI makes no promise or warranty, express or implied, that Case Worker or any Output will be accurate, complete, current, clinically appropriate, fit for a particular purpose, uninterrupted, secure or error-free.

12.2 Nothing in these terms excludes any right or warranty that cannot be excluded under applicable law.

What this means for you: We work hard on quality, but we don't guarantee that Case Worker is always right or always available.

13. Limitation of liability

13.1 To the fullest extent the law allows, PhysioAI (and its directors, employees, contractors and licensors) will not be liable to you for:

  • (a) any clinical outcome, injury, loss or claim arising from a decision you make, a treatment you give or a document you share, whether or not you used an Output;
  • (b) any indirect, incidental, special, consequential or punitive loss; or
  • (c) any loss of profit, revenue, business, goodwill, reputation or data,

even if we were told such loss was possible.

13.2 To the fullest extent the law allows, PhysioAI's total liability to you for all claims arising from or relating to Case Worker in any 12-month period is limited to the greater of (a) the fees you paid to PhysioAI specifically for Case Worker in the 12 months before the event giving rise to the claim, and (b) INR 5,000.

13.3 Nothing in these terms limits liability for fraud, for death or personal injury caused by our own negligence where that liability cannot be limited by law, or for any other liability that cannot lawfully be limited or excluded.

What this means for you: If something goes wrong, PhysioAI's responsibility is limited, and it does not cover your clinical decisions. Some rights that the law protects can't be removed, and we don't try to remove them.

14. Your indemnity to PhysioAI

14.1 You agree to defend, indemnify and hold harmless PhysioAI and its directors, employees and contractors from and against any claims, complaints, regulatory actions, losses, damages, penalties, costs and reasonable legal fees brought by a third party (including a patient, a patient's family, a regulator, a referrer or an employer) that arise from:

  • (a) your assessment, diagnosis, treatment, referral or other clinical decisions, including any decision to use or not use an Output;
  • (b) any document or communication you create, edit or share using Case Worker;
  • (c) patient data you enter without a lawful basis or required consent, or with unnecessary identifiers; or
  • (d) your breach of these terms or of any law or professional rule.

14.2 We will tell you promptly about any such claim, let you control the defence where that is reasonable, and cooperate at your cost. You may not settle a claim in a way that admits fault on PhysioAI's behalf without our written consent.

What this means for you: If a patient or regulator takes action over your clinical care, your documents or your handling of patient data, you are responsible for it, not PhysioAI. Professional indemnity insurance is strongly recommended.

15. Suspension and termination

15.1 We may suspend or end your access to Case Worker, with or without notice, if:

  • (a) you breach these terms or we reasonably suspect that you have;
  • (b) we cannot verify your registration, or it lapses, is suspended or is cancelled;
  • (c) your use creates a risk to patients, to other users, to PhysioAI or to the security of the service;
  • (d) the law or a regulator requires it; or
  • (e) we pause, change or withdraw Case Worker, or end the invite programme.

15.2 You may stop using Case Worker at any time. You can ask us to delete your case data as described in the Patient Data notice.

15.3 Where reasonably possible, and unless the suspension is for misuse or legal reasons, we will give you a chance to download your documents before access ends.

15.4 Sections 3 to 7 and 11 to 18, and any other terms that by their nature should continue, survive the end of your access.

What this means for you: We can switch off Case Worker for you if the rules are broken or your licence lapses. You can leave at any time.

16. Changes to Case Worker and to these terms

16.1 Case Worker is under active development. We may add, change or remove features, models, sources or document types at any time.

16.2 We may update these terms. For material changes we will notify you in the app or by email at least 15 days before they take effect, and we will ask you to accept them again before you continue using Case Worker. Changes needed for legal or safety reasons may take effect immediately.

What this means for you: If the rules change in a meaningful way, you'll be asked to tick the box again.

17. Governing law and disputes

17.1 These terms are governed by the laws of India.

17.2 The courts in Maharashtra, India have exclusive jurisdiction over any dispute arising from or relating to these terms or Case Worker, subject to any mandatory rights you have under the law of the country where you practise.

17.3 Before starting formal proceedings, both sides will try in good faith to resolve the dispute by writing to each other for 30 days.

What this means for you: Indian law applies, and disputes go to the courts in Maharashtra after a 30-day attempt to settle them.

18. General

18.1 Entire agreement. These terms, together with the general Terms of Service, the Privacy Policy and the Patient Data notice, are the whole agreement between us about Case Worker.

18.2 Severability. If any part of these terms is found to be unenforceable, the rest stays in effect, and the affected part is applied as far as the law allows.

18.3 No waiver. If we don't enforce a right straight away, we have not given it up.

18.4 Assignment. You may not transfer these terms to anyone else. We may transfer them as part of a reorganisation, merger or sale of our business.

18.5 Force majeure. We are not responsible for delays or failures caused by events beyond our reasonable control, including outages of hosting or AI providers.
